IDEA was originally built on cutting-edge technology, but that software is fast approaching the end of its working life. Current IDEA users should not panic. IDEA will be run in parallel with SmartCon until it is shut down on 31 December 2019. We know that one of the things that is really important for IDEA users thinking about moving to SmartCon is the availability of the contracts they currently use on IDEA. So, we have been working hard to make sure that SmartCon will have the same library of contracts as IDEA, says Grant Hunter, Head of Contracts and Clauses at BIMCO. BIMCO will increase the number of contracts available on SmartCon from its current 40 to around 90 contracts by October, to ensure that all frequently used contracts are available. Users need to switch soon If you are an IDEA user, and you have not switched to SmartCon yet, you or your company will have to take action very soon to give yourself plenty of time to make a smooth transition to the new system. First, we suggest you sign up for SmartCon on www.bimco.org or call BIMCO to get more information. Second, be aware that by the end of 2018 you will no longer be able to renew your IDEA account. If your IDEA subscription was set to renew in 2019, you can subscribe to SmartCon instead, and get access to IDEA for free while upgrading to SmartCon as part of the package. IDEA timeline: 1 October 2018 SmartCon will support all frequently used contracts (around 90 contracts) Mid October 2018 IDEA is no longer available for subscription 1 January 2019 Only frequently used contracts will be available on IDEA 1 January 2019 IDEA subscription no longer available for renewal 31 December 2019 IDEA will be shut down How do I migrate? BIMCO will increase the number of contracts available on SmartCon from its current 40 to around 90 contracts by October, to ensure that all frequently used contracts are available. We are aware that some users are concerned about the process of switching, and the transfer of the companys customised contracts from IDEA to SmartCon, or have technical concerns about running SmartCon. Switching to SmartCon can seem like a daunting task, as some companies have many IDEA contracts on file, Hunter says. To help IDEA users, BIMCO has developed some tools and procedures to convert existing IDEA contracts as easily as possible. Users can export all current IDEA contracts with all insertions and deletions included. They will then need to manually update the contracts in SmartCon with the insertions and deletions to reflect the companys version. This will mean cutting and pasting changes from the IDEA version to the SmartCon version of the contract. Creating a SmartCon version of an IDEA contract can be completed in less than half an hour for a contract like GENCON. Our suggestion is that, if possible, users begin by transferring the contracts they are most likely to use in the next few months, and then transfer the remainder on an ad hoc basis afterwards. What is SmartCon? SmartCon is BIMCOs easy-to-use contract editing solution, which can be used offline. The key innovation in SmartCon is that the features are built into a Word document, which will integrate seamlessly with the normal workflow of shipping professionals and legal staff. The contracts can be shared until it is fixed, without security risks, as everything is protected and authenticated by Microsofts Cloud security infrastructure. Go to the SmartCon Q&A here. BIMCO has also experienced some companies with IT-policies prohibiting employees from accessing a cloud-based software solution. Such a policy makes using SmartCon impossible.
